The conference app for a multi-track conference
A conference becomes a different object the moment it has a second track. One agenda becomes six hundred agendas, and the printed programme becomes the thing everyone is holding while asking someone else where to go.
A planning figure: three tracks, two days, the size where the printed programme stops working.
Why a second track changes everything
A conference app gives every delegate their own path through a multi-track programme, opens each session to questions, connects delegates to each other, and gives the organizer a live picture of what is filling and what is not. event67 publishes that app under the conference's own name in the App Store and Google Play, and bills per delegate who claims their invite and opens it, with a hard ceiling per event.
Six hundred delegates, six hundred agendas
Tracks are the reason a conference needs software. A delegate stars the sessions they want and their own day pins to the top of the screen, filterable by track, with the room and the speaker on each entry. When a room changes, it changes on every device rather than on a sheet of A4 taped to a door.
Questions that reach the panel
Live Q&A with upvoting and organizer moderation puts a ranked list in front of a chair. In a two-hundred-seat breakout it also solves the practical problem that a roving microphone takes ninety seconds to reach the person who wants to speak.
The corridor, made findable
Most delegates rank the people above the programme. A searchable directory with profiles and interests, plus QR connections scanned in person, turn a chance meeting into a contact that still exists on Monday. It is attendee to attendee, and it does not sync anywhere.
Sponsors seen in the right places
Sponsor pages ordered by tier, with logos, bios and links, and sponsors attached to the sessions they support. That is real visibility. It is not lead capture, and a sponsorship prospectus should not imply otherwise.

Load tracks first, sessions second
Tracks are the structure everything else hangs on. Build them before the sessions, then attach speakers, rooms and sponsors. Sessions carry a view count, which is an early signal of which rooms will be tight.
Uses the live schedule.
Two weeks out
Invites, and the bounces they reveal
Import the delegate list as CSV and send branded invites with per-recipient delivery tracking. The bounce list is always more interesting than expected and is best dealt with now.
Uses the branded app and branded invites with delivery tracking.
Registration opens
Badges on phones
Delegates check in with the QR pass in the app, and an Apple Wallet pass keeps it available without opening anything. A second scan returns already checked in, which is what a three-day conference needs. Live arrivals run in the console.
Uses QR check-in and Wallet passes.
Mid-conference
Move the room, tell everyone
The keynote overran, the parallel sessions slid, one room is at capacity. Push announcements deep-link to the affected session. This is the hour where a conference app either earns its budget or does not.
Uses push announcements.

Ratings, photos and the archive
Session ratings arrive per session rather than in a single exit survey. The shared album collects the conference's photographs in one place. The reports archive keeps every question, poll and image for the programme committee to argue over next year.
Uses session feedback and the shared album.
Building a conference app
Six steps in dependency order. Doing them out of order mostly costs rework on the schedule.
Create the event and lock the currency
Currency is chosen at creation and locks when the event goes live. For a conference billed in Canadian dollars, choose now.
Create tracks
Before any sessions exist. Tracks are what delegates filter by and what analytics group on.
Load sessions, speakers and rooms
Each session carries its speaker bios, room and sponsor. Set RSVP capacity only where seating is genuinely enforced.
Theme the app
The conference's logo, colours and type. The contrast checker warns on any pair below WCAG AA, confirms, and saves.
Load sponsors by tier
Platinum through Bronze. Check the tiers against what your commercial team has actually sold.
Import delegates and invite
CSV from your registration platform. Delivery is tracked per recipient; fix bounces before the desk opens.
What a 600-delegate conference costs
Six hundred delegates claim their invite and open the app. Fifty are free and the remainder are billable once, for the whole conference, regardless of how many days or sessions it runs.
- activated attendees
- 600activated attendees
- billable, after the first 50 are free
- 550billable, after the first 50 are free
- for the whole event, at $5.00 each
- $2,750for the whole event, at $5.00 each
Delegates who register and never open the app are not billed. The meter counts activation, not registration.
What a conference organizer will look for and not find
Every category roundup lists these as table stakes. We do not have them, and knowing that now saves an evaluation.
- No call for papers, abstract submission, peer review or speaker portal. Speakers appear with a bio, room and sessions; the submission workflow happens elsewhere.
- No ticketing, registration or payments. Sell through a registration platform and import the list.
- No interactive floor plan or wayfinding.
- No exhibitor lead retrieval, badge scanning or badge printing.
- No streaming, so a hybrid conference needs a video platform alongside this.

What it costs
- Free up to 50
- activated attendees, on one live event
- $5
- per activated attendee beyond 50
- $4,750
- the most one event can ever cost, whatever happens past 1,000
Activated means the person claimed their invite and opened the app. Not when you import them, not when the invite is delivered, and not if they register and stay home.
Questions people actually ask
Do delegates have to install an app?
No. Every event has a web version with the same agenda, sessions, speakers and directory, so a delegate can use it from a browser. The native apps add push notifications and the Wallet pass, which is why most delegates install once the first announcement arrives.
What does a conference app cost for 600 people?
You pay per delegate who activates, beyond the first fifty, and the total for any single event is capped. Because the cap is reached at 1,000 activated delegates, a 600-person conference sits below it and a 3,000-person conference pays the same as a 1,000-person one.
Can we collect abstracts and manage the review?
No. There is no call for papers, abstract submission or peer review. This is the most common reason a scientific or academic conference needs a second tool, and it is worth confirming early in your evaluation rather than late.
How do sponsors appear?
As tier-ordered pages with a logo, description and website, and as the sponsor attached to specific sessions. There is no booth scanning and no lead retrieval, so sponsorship packages should promise visibility rather than leads.
What happens if the schedule changes on the day?
Edit the session in the console and the change is live on every device. Pair it with a push announcement that deep-links to the affected session, which is the pattern that actually gets people to the right room.
