What is sponsor activation?
Sponsor activation is the set of things a sponsor does at an event to convert their sponsorship into contact with attendees, as distinct from the placements they purchased.

Activation is the difference between buying sponsorship and getting something from it. It is the sponsor’s job, and it is in the organizer’s interest to help, because an unactivated sponsor does not renew and renewals are cheaper than new sales.
In practice at an event
Good activation gives attendees a reason to come to the sponsor that is not the sponsor. A coffee cart people already need. A quiet workspace. A genuinely useful workshop. A demonstration of something interesting rather than a pitch.
Poor activation is a stand with a pull-up banner, a bowl of sweets and two people looking at their phones. It happens constantly, and the sponsor usually blames the event.
The organizer’s contribution is placement and honesty: put the sponsor area where people already walk, and if a space is off the main circulation route, say so and price it accordingly.
What to look for
Brief your sponsors. A short note on what works at your event, what your attendees respond to, and what falls flat is worth more to a first-time sponsor than an extra placement, and it costs you an afternoon.
Then measure something. Scans, session attendance, form responses — whatever you can honestly attribute. A sponsor with a number renews more readily than one with an impression.
