Real published prices for conference apps, the four pricing models vendors use, and a worked cost per attendee at 100, 500 and 5,000 people.

The short answer

A conference app costs between nothing and about $18,000 a year. Published entry prices in September 2026 run from $399/year (Yapp Basic) to $17,999/year (Bizzabo), with most branded apps landing between $3,000 and $8,900 per event. event67 is free to 50 activated attendees, then $5 each, capped at $4,750 per event.

What an event app costs

Most vendors in this market will not tell you a price without a call. That is the single most useful fact about event app pricing, and it shapes everything below. Of the 44 products we track, fewer than half publish a figure on their own website. This guide collects the ones that do, dates every number, and shows what the same event costs under each of the four pricing models actually in use.

The four pricing models

Before comparing numbers, work out which model you are being quoted. Two quotes under different models are not comparable, and the difference between them grows with the size of your event.

A per-seat model is the one that most often surprises buyers, because the number that drives the bill is the one nobody thinks to count in month one. Bizzabo’s published Event Experience OS plan is $499 per user per month billed annually with a three-user minimum, expressed on the same page as “starting at $17,999 per year” — the minimum seat count, not the event, sets the floor.

Listed by a directory, not by the vendor

A directory listing is not a published price, so these are attributed to the directory that carries them rather than presented as the vendor’s own figure.

These are second-hand and should be treated as an indication of the band, not as a quote. Directory data can also be wrong outright: Capterra and Software Advice have both carried a $0.01-per-year figure for Map Your Show, which is a placeholder rather than a price.

Vendors that publish no price

As at 3 September 2026, Cvent, Whova, vFairs, Webex Events, Brella, Map Your Show, Splash (splashthat.com) and Momentus Technologies do not publish list pricing on their own sites and direct buyers to request a quote. That is a legitimate commercial choice. It is also a scheduling fact: budget two to three weeks between first contact and a number you can put in a spreadsheet.

What the same event costs on event67

Our own model is per activated attendee, with a ceiling. An attendee is activated only when they claim their invite and open the app — not when you import them, not when the invite is delivered, and not if they register and stay home. Invites are unlimited and never metered.

The curve is the point. It rises to a ceiling at 1,000 and then falls, because the ceiling does not move. A 5,000-person conference costs the same as a 1,000-person one, which is the opposite of how an uncapped per-attendee model behaves.

Local prices are flat, not conversions: EUR 5, GBP 4, CAD 7, AUD 7.50 per activated attendee, with the ceiling scaled to match. Currency is chosen when the event is created and locks when the event goes live.

If you run several events a year, the Season Pass ladder prices credits down: 2,500 credits for $8,750 ($3.50 each), 10,000 for $30,000 ($3.00), 25,000 for $62,500 ($2.50). One credit covers one billable attendee, so the 50 free seats still apply on every event in the pool.

The costs that are not the licence

The line item most often missing from a first budget is the add-on catalogue. These are published prices, not estimates.

  • Onsite badges. EventMobi publishes pre-printed badges starting at $3.99 each and onsite label-printing hardware rental typically starting at $1,000. At 800 attendees, badges alone are roughly $3,200 — comparable to the app licence.
  • Streaming. EventMobi publishes usage-based streaming and video storage packs from $500 per event. Airmeet publishes managed events starting from $4,999.
  • Integrations. EventMobi publishes standard integrations from $1,000 per integration. If your registration system, your CRM and your badge printer each need one, that is a four-figure line.
  • Payment processing, if the same vendor also sells you ticketing. Eventbrite publishes a 3.7% + $1.79 service fee per paid ticket plus 2.9% payment processing per order.
  • Seats for your team. Under a per-user model, every moderator you add during the event is a recurring cost.

event67 has none of these line items, for an honest reason rather than a generous one: it does not sell badging, streaming, integrations or ticketing. It is a conference app and an organizer console. If you need badge printing, you will buy it somewhere else, and that cost belongs in your budget regardless of which app you choose.

How to cut the cost without cutting the event

  1. Count activated attendees, not registrations. Every model that bills on registrations bills you for the people who never showed. Ask any vendor which number their meter reads.
  2. Ask for the ceiling. A per-attendee price with no cap is an open-ended commitment on your largest event. If there is no cap, model the worst case, not the expected case.
  3. Separate the app from the badges. Bundled quotes hide which half is expensive. Price them apart, then decide.
  4. Do not buy virtual for an in-person event. Streaming add-ons are the single largest optional line in this market and most in-person conferences never turn them on.
  5. Check the seat count in the contract, not the demo. A three-seat minimum on a $499 per-seat plan is $17,999 before anyone attends.
  6. Run the small event on a free tier first. A 40-person internal offsite on a free plan tells you more about a product than any demo.

What a fair benchmark looks like

For a single-track, 500-person, two-day in-person conference with a branded app in both stores, no streaming and no badge printing, the published market in September 2026 sits between roughly $2,250 and $7,500. Below that band you are usually buying a schedule tool rather than an app. Above it you are usually buying a full event-management suite, and paying for registration, ticketing and badging you may already have elsewhere.

That is the honest frame for this decision. The question is not who is cheapest. It is which half of the category you actually need.

How much does an event app cost for a 500-person conference?

On event67, $2,250. The first 50 activated attendees are free and the remaining 450 are $5 each. Elsewhere in September 2026 a 500-person event sits inside the flat-fee band: EventMobi's published per-event pricing starts at $3,000, Sched's published Boost plan starts at $1500 per event, and Eventee's Signature single-event plan is listed on Capterra at $2,499.

Are there hidden fees in event app pricing?

The licence is rarely the whole bill. The published add-ons that most often surprise buyers are onsite badge printing, streaming, and integrations. Is there a genuinely free event app?

Yes, with limits you should read carefully. Sched's pricing page states unlimited free participants for smaller events below 50 attendees. event67 is free for one live event up to 50 activated attendees with the whole feature set, no card and no trial clock. Free tiers in this market are usually capped on head count rather than on features.

What is the cheapest way to run an app for a 2,000-person conference?

Find a vendor with a price ceiling. Per-attendee models without a cap get expensive fast at that size, and per-event flat fees stop being competitive below roughly 800 people. event67 caps at $4,750 per event, so 2,000 attendees and 5,000 attendees cost exactly the same.

How much does it cost to maintain an event app after the event?

If you licensed one, nothing extra — maintenance is inside the fee, which is the main argument for licensing rather than building. If you built one, budget for two operating-system releases a year, an Apple Developer Program membership at $99/year, certificate renewals, and a developer on call during the event.
