What is an event budget?

An event budget is the plan of an event's income and costs, most usefully structured to separate fixed costs from those that scale with the number of attendees.

An event budget that is only a total is a budget you cannot steer. The number that matters is cost per attendee, because it sets the ticket price and exposes which line to cut.

In practice at an event

Structure it in three blocks. Fixed costs — venue, audio-visual, production, staff, marketing — do not move with attendance and set your floor. Per-attendee costs — food, badges, materials, the app — scale with head count. Contingency at ten percent, held separately and not spent before the final month.

Then run it three times: at your low, expected and high attendance. Because fixed costs dominate conference economics, a thirty percent shortfall hurts considerably more than a thirty percent overshoot helps, so the low case is the one that has to survive.

Food and audio-visual together are frequently around half the cost before contingency. Those two get quoted; everything else can be estimated at first.

What to look for

The four lines that overrun are audio-visual beyond the base quote, food from a higher final head count, venue extras outside the room rate, and staffing on the setup and derig days.

Sponsorship is flat across attendance scenarios, which is what makes a low turnout survivable, and it is why most organizers sell it before tickets.
