What is wayfinding at an event?

Wayfinding is the combination of signage, room naming, maps and directions that lets an attendee move through a venue without asking someone.

Wayfinding is getting people where they are going. Most of it is physical — signs, room names, staff standing at junctions — and the software part is smaller than vendors suggest.

In practice at an event

The single highest-return wayfinding measure at a conference costs nothing: make the room names in the app identical to the names on the venue’s doors. “Room 2” in the app and “Windsor Suite” on the door is a navigation failure invented by the organizer, and it is extremely common.

After that: a printed day-at-a-glance with a simple map, staff at the two junctions where people hesitate, and signage at eye level rather than above it.

Walk the routes yourself before the event, including the step-free ones. The published accessible route and the actual route on the day differ more often than venues admit, usually because of a delivery, a cable run or a locked door.

What to look for

For a complex venue, an interactive floor plan helps and needs somebody to maintain it, because a map showing last month’s layout is worse than no map.

For accessibility, describe routes in text as well as showing them on a map. A map alone is not usable by everybody.

Where event67 stands

event67 does not have wayfinding, interactive maps or indoor navigation. Sessions carry a room name, and that name is whatever the organizer enters — which is exactly why entering the venue’s own door names is the recommendation rather than a workaround. For a large or confusing venue, a map product is a separate purchase.
