What is a breakout session?

A breakout session is a smaller session running in parallel with others, which attendees choose between rather than all attending together.

breakout session in detail

Also written as parallel session, concurrent session.

A breakout is any session attendees choose between rather than all attend. It is the workhorse format of most conferences and the one that creates the operational load.

In practice at an event

The content is the easy part. The difficulty is the changeover: three or four rooms to reset between sessions, microphones swapped, decks loaded, moderators repositioned, and several hundred people moving between them, all inside a break that also has to contain coffee.

This is why a run of show carries more rows for transitions than for sessions, and why rehearsing the break reset in the actual room is worth more than reading the plan aloud.

What to look for

Attendance imbalance is normal and worth planning for. Two breakouts in the same slot will not draw equally, and knowing which is which before the day means a room swap rather than a queue.

The personal agenda counts a week out are the best available signal. So is honest session titling: a specific title draws the right room, and a vague one draws a room that leaves.

One scheduling habit is worth adopting: do not put your two strongest breakouts in the same slot. It splits the audience that most wanted both, produces one overfull room and one empty one, and is entirely avoidable at the point the grid is drawn.

How event67 handles it

Attendees save breakouts into their personal agenda, and the saved counts are visible to the organizer in the console, which is what makes a room swap possible before the day rather than during it. If a breakout does move, the change reaches the people who saved it through a notification that opens that session. Sessions with a capacity limit are enforced server-side, with automatic waitlist promotion.
